General principles The collection, processing and use of personal data in the association takes place in accordance with the guidelines of the EU-wide General Data Protection Regulation (GDPR) and the applicable Federal Data Protection Act (BDSG). Conformity with data protection when handling personal data in the association is guaranteed in particular by a data protection management system. When a member joins the association, the member is informed of data protection law in accordance with Art. 13 Paragraph 1 and Paragraph 2 GDPR). When a member joins the club, the club may collect all data (application for membership or declaration of membership) that is necessary to pursue the club's goals and to support and manage its members (see Art. 6 Paragraph 1 Letter b) GDPR). By making the data available, consent is given that the individual member can be sent information, invitations and appointments as well as other correspondence from the club in the future (by email, phone call or online media). The individual member can revoke their consent to the board at any time. Membership in the club generally constitutes consent for the use of personal data as well as photos and videos as part of press work in the print and online media (club homepage, social media platform of the club). If the member revokes this consent to the board, membership will be terminated. Joining the club When a member joins, the club records the following personal data: ⋅ First and last name ⋅ Gender ⋅ Address (street, house number, postcode, place of residence) ⋅ Communication data (telephone, e-mail) ⋅ Date of birth ⋅ Bank details ⋅ Profession Each club member is also assigned a club membership number. The personal data is stored in the club's own IT system, which is protected by technical and organizational measures against unauthorized access by third parties. Other information and information about non-members is only collected and processed internally by the club if it is useful for fulfilling the club's purpose and there is no indication that the person concerned has a legitimate interest that conflicts with the processing. Leaving the club When members leave the club, all stored data is archived. The archived data is also protected from third-party access by suitable technical and organizational measures. The archived data may also only be used for club or association internal purposes. Personal data of the departing member that relates to the club's financial management will be retained by the club for up to ten calendar years from the effective date of the departure in accordance with tax law provisions. After that, this data will be deleted. Transmission of data when registering members As a member of the KVBB eV, KVMB eV and BDK associations, the club is obliged to report its active members to the parent association. The transfer of data to the association, an umbrella organization in relation to the club, represents a data transfer within the meaning of paragraph 4, sentence 2, no. 3 BDSG. Personal data is transmitted in accordance with the association's reporting standard. For active members in particular, this includes the following data: ⋅ First and last name, address, date of birth, gender ⋅ Honors data (honors received from the association to date) ⋅ Qualifications ⋅ Date of joining active membership ⋅ Participation in the association's groups For active members with special tasks or functions according to the association's statutes (board members, committee members, functionaries), the full address with telephone number, e-mail address and the name of their function in the association are transmitted. Supporting members and honorary members are only transmitted statistically, i.e. without name reporting. When submitting a membership report to the parent association, the association expressly declares that the data may only be used for internal association purposes; transfer to third parties is prohibited or requires the written consent of the association's members. The membership report is transmitted using a data-encrypted process. Other transmission of data to umbrella organizations As a member of the KVBB eV, KVMB eV and BDK eV associations, the association can transmit personal data to the associations on the following occasions in order to fulfill its tasks: ⋅Application for honors in accordance with the honors regulations of the associations or other umbrella organizations: first and last name, address, date of birth, honors history ⋅Registration for courses organized by the associations or other umbrella organizations: first and last name, address, date of birth, email, telephone ⋅Registration for specialist conferences and events organized by the associations or other umbrella organizations: first and last name, address, date of birth, email, telephone Member registration is transmitted using an encrypted process. Press work The association informs the daily press and the association magazine about competition results and special events. Such information is also published on the association's website. Individual members can object to such publication by contacting the board at any time. In the event of an objection, no further publications will be made in relation to the objecting member. Personal data of the objecting member will be removed from the club's homepage. The club will notify KVBB eV, KVMB eV and the BDK association of the member's objection. Passing on member data to club members The board announces special events in the club's life, in particular the holding and results of competitions, awards and celebrations, on the club's bulletin board. Personal member data may be published in the process. The individual member can object to such publication by telling the board at any time. In the event of an objection, no further publication will be made on the bulletin board with regard to the objecting member.
